SiteOwl Customer Portal Access Guide

Introduction

The SiteOwl Customer Portal enables customers to securely manage their payment information, process transactions effortlessly, and access detailed financial statements. 

1) Receiving the Invitation

  1. The Customer Portal invitation is sent to all primary billing contacts of an active account that is billed on a Monthly or Quarterly basis. 
  2. For any non-primary billing contact of an active account with Monthly or Quarterly billing, access to the Customer Portal can be granted, if the primary billing contact sends an email request to finance@siteowl.com to add you. Once the request is processed, you will receive an email invitation to access the portal.
Once you receive the invitation to the Customer Portal via email:
  1. Open the email and click the Accept Invite button.
  2. This will route you directly to the home page of the Customer Portal. 
 

2) Logging in to the Portal

  1. If you are accessing the Customer Portal for the first time, you will need to: 
    1. Set up your account by creating a password using the link provided in the email invitation. 
    2. Once the password is set, log in using the same email address used to receive the invitation.

  2. If you already have login credentials, you can access the Customer Portal directly by: 
    1. Entering your User ID (registered email address).
    2. Entering your Password.

After logging in, you will have full access to your SiteOwl Customer Portal to manage payments, invoices, subscriptions, and more. 

3) Customer Portal Dashboard Overview

Once Once you log into the SiteOwl Customer Portal, you will be directed to the Dashboard. The Dashboard provides easy access to key features and sections, including the following tabs:
  1. Home: View your balance summary, recent payments, personal details, and any shared documents.
  2. Estimates: Access and manage your open and all estimates.
  3. Subscriptions: View your active subscriptions and a complete list of all subscriptions related to your account.
  4. Invoices: Track your outstanding and all invoices and make payments.
  5. Payment Details: Update your payment information, such as adding or editing card details.
  6. Statements: Review detailed financial statements and reports for your account.
These tabs allow you to efficiently manage all aspects of your account and stay up to date with your SiteOwl services.

4) Home Tab Overview

The Home tab Provides a quick summary of essential details, including: 
  1. Balance Summary: Displays the currency used for payments, available credits, and the total balance payable.
  2. Last Payment Made: Shows details of your most recent payment.
  3. My Details: Contains your personal or account-related information. You can also Edit/Update your payment card details at any time. 
    1. To add a new card:
      1. Click on the Add Payment Method button.
      2. Enter the required card details, such as card number, expiry date, and CVV.
      3. Save the details to update your payment method. This ensures your payment information is up to date for future transactions.

    2. Update the card information: 
      1. Navigate to the Payment Details tab. 
      2. Click the Settings button and select Edit
      3. Update your card details, including card number, expiry date, and CVV.
      4. Click Submit to save the updated information. Your payment details will be successfully updated for future transactions.

  1. Shared Documents: Lists any documents shared with you for future reference. 

5) Estimates Tab Overview

Under the Estimates tab, you can view: 
  1. Open Estimates: Estimates that are currently active and awaiting your response or approval.
  2. All Estimates: A complete list of all estimates, including open, accepted, and declined ones. 

6) Subscriptions Tab Overview

Inn the Subscriptions tab, you can: 
  1. View Active Subscriptions: Check the details of all of your currently active subscriptions. 
  2. View All Subscriptions: Access a complete history of all subscriptions associated with your account, including active, expired, and canceled subscriptions. 

7) Invoice Tab Overview

You can quickly and efficiently manage and pay your invoices through the Invoice tab by following these steps: 
  1. Access Outstanding Invoices:
    1. Navigate  to the Invoices tab and select the Outstanding Invoices section.
    2. View a list of all unpaid and overdue invoices.
    3. Click the Pay button next to the invoice you wish to settle. 
    4. Follow the payment instructions to complete the transaction.

  2. View All Invoices
    1. In the All Invoices section, access a comprehensive list of invoices, including paid, unpaid, and overdue. 

8) Payment Tab Overview

In the Payment tab, you can: 
  1. View all payments made, including general payments and those applied to invoices.
  2. Access exclusive details of payments made specifically for invoices, such as payment date, mode of payment, and amount. 

9) Statement of Account Overview

The Statement of Account provides a comprehensive summary of all payments made during the financial year in a single consolidation statement. This helps you keep track of your financial transactions at a glance. 

10) Logging Out

  1. Step 1: Click on your profile icon at the top-left corner. 
  2. Step 2: Click on the Log Out button to safely exit the portal.
